Every plan includes unlimited users. Each user belongs to one company and has one role.
Roles
| Role | What they can do |
|---|---|
| Owner | Everything: rates, company settings, users, photo templates, CSV import, activity log and the subscription. |
| Operator | The desktop app: rentals, customers, contracts, products (without changing rates), calendar and documents. Can also use the field app. |
| Field agent | Only the field app on the phone: handovers, returns, photos, quick rentals, quick-add customers and contract upload. Signing in to the desktop app takes them to the field app. |
A small company, one person? You don't need a separate field agent account. As the owner (or an operator) you do the desk work in the desktop app and the handovers and returns with photos in the field app on your phone, with the same account. Open it from the Field app menu item; on a phone, Kondito also shows a button at the top of the page.
Adding a colleague
Owners open Users → New: name, email, role and, optionally, the language. Then choose how they get access:
- Send an invitation by email (recommended): they receive a link, valid for 7 days, and choose their own password. Until then they show as Invited (pending), and the invitation can be sent again from the list.
- Set a password now: you choose the password and pass it on; they can change it later from their profile.
Each email address can belong to only one account in Kondito.
Deactivating
Users are never deleted, so their history stays attributable. Turn off Active to block access immediately; turn it on again to restore it. You cannot change your own role or deactivate yourself.
Profile and notifications
From the user menu → profile, everyone can change their name, email, password and language, and turn the daily email summary on or off. The summary is sent at 07:00 company time to owners and operators: the day's handovers and returns and the overdue rentals. Phone notifications are turned on in the field app (see The field app).
Activity log
Owners see the Activity log: sign-ins, rate changes, rentals, contracts, deletions and other important changes, with the user and the time.
