Customers live under Customers. They can also be added on the fly, from the rental form or from the field app, with just a name and a phone number.
Individuals and companies
- Individual: full name, phone, email, ID document (type and number), personal ID number, driving licence number and expiry date, address.
- Company: company name, tax ID, trade register number and contact person, in addition to the above.
- Internal notes are visible only to your team.
ID document numbers, personal ID numbers and driving licence numbers are encrypted in the database. Because of that they cannot be searched; search by name, phone, email or tax ID instead.
Duplicates
If a phone number already belongs to another customer, the form warns you and names that customer. It does not block you: two customers may share a phone number.
Problem customers
Tick Problem customer and write the reason. Whenever that customer is chosen for a new rental, the reason is shown under the field.
Reading IDs automatically (AI)
When automatic reading is enabled for Kondito, the customer form has a Read from ID button.
- Choose the document: ID card or Driving licence.
- Take or upload a clear photo.
- The fields found are filled into the form: name, document number, personal ID number and address from an ID card; name, licence number and expiry date from a driving licence. Fields that could not be read are left as they were.
- Check every value, then save. Nothing is saved until you do.
The photo is sent to the AI provider only to read the fields. By default it is not kept; the owner can turn on Keep images of automatically read IDs in Company settings if there is a legal basis for it. The same kind of reading fills a product from its registration certificate and suggests the meter from a dashboard photo during inspections. When automatic reading is not enabled, these buttons do not appear and everything else works the same.
History
Each customer's page lists their rentals.
Exports and data requests
- Export CSV on the Customers page exports the list (without ID document data).
- Export customer data on a customer's page downloads everything about that customer as a JSON file, to answer a data access request.
- Erase personal data (owners) permanently anonymises the customer when they ask to be forgotten. Their rentals stay, under "Deleted customer", and the customer can no longer be booked. This cannot be undone.
Customers are never deleted outright; both actions are written to the activity log.
